Go-Va provides clients based in Australia with offshore employees. We are managed operations, not a BPO. You will work in the Go-Va office in Cebu and have direct contact with your Australian company on a daily basis who will train you in their policies and procedures. This position will be working for one of our Australian clients who will be focused on Digital Marketing.

• Production Support works on various administrative tasks to support the Production team across creative and digital jobs, internally and externally.
• Calendar management and support across the creative department. Includes setting up meetings (internal/external and virtual/face-to-face), tracking meeting rooms and equipment needed
• Proofing assistance and quality management of files for project delivery
• Research and contacting relevant suppliers needed for Producers for their projects (i.e printers, specialists, etc)
• Research for any creative or digital projects that require data, sources to be put into research packs for the team
• Note taking of internal WIPs and updating information into Trello and Workflow Max as required
• Contact report building for client meetings, for the Producers to use in client follow-ups
• Ensuring file server is kept up-to-date with latest files sent by the client, or created by the Creative team
• Issuing invoices as instructed by Producers and creating draft emails
• Creating draft AR emails for the Producers to send to chase outstanding invoice payments
• Drafting estimates for template jobs (i.e standard Branding, Website Phase 1, etc)
• Communicating resources internally for the designers; both upcoming bookings and availability. Managing the responses with the Producers to maintain healthy resourcing across the team
• Producing weekly and monthly reports to assist Executive Producer in feedback to wider agency and Directors
• Chase suppliers for invoices to ensure payment aligns with invoicing client.

QUALIFICATIONS:

• Relevant experience (production support) is required.
• Experience in Trello and Workflowmax would be an advantage
• Experience in WIP/ Creative process management background.
• Has experience in Calendar management and Creative Project Management
